We agree the purpose before capture so the coverage includes the speakers, people, setting and details that support it. A highlight film and a complete session recording require different plans.
Send the run of show, venue access, must-cover moments and posting deadline. Flag simultaneous sessions or activities in different rooms early. Solo coverage has practical limits; additional operators and equipment are quoted when the event needs more than one viewpoint.

Half-day coverage is 2–4 hours with one operator and a 45–60-second highlight in one agreed primary aspect ratio. Full-day is 4–8 hours and includes 1–3 lit speaker or attendee interviews, a 60–90-second 4K horizontal highlight and a 15-second vertical cut.
Full keynote and panel recordings are not included in the highlight packages. Session capture, extra coverage, additional versions, extra crew and travel require a separate quote. If you also need photographs, discuss combined staffing so neither set of deliverables depends on one person covering everything at once.
Make delivery part of the event plan
Provide logos, speaker names, music or usage requirements and one approval contact before the event. Arrange any venue permissions and access to the audio system that the agreed recording plan requires. For interviews, choose a quieter area away from the busiest room.
The half-day highlight schedule is seven business days after coverage. Full-day delivery is 5–7 business days. Rush turnaround is subject to availability and quote confirmation. Licensed music, color work and clean audio are included as described in the selected package.
